Privacy policy
This policy describes which personal data ExcelSpecialist processes, for what purpose, and for how long it is retained. The data controller is Jazetti B.V., trading as ExcelSpecialist.
Contact form
When you fill in the contact form, we process the data you provide: name, email address, any phone number, and your message. We use this data solely to answer your question.
- Legal basis: performance of a contract, or steps taken at your request before entering into a contract; alternatively, our legitimate interest in responding to your enquiry.
- Sending: your message goes to info@excelspecialist.nl and is handled by Jazetti B.V., the company of which ExcelSpecialist is a trade name. Delivery itself runs through one other party; who that is and what they do with your message is under "Processors and third parties" below. Replies come from website@excelspecialist.nl.
- Retention period: form submissions are kept for twelve months. Email correspondence that belongs to our records - assignments, invoices and what goes with them - is kept for seven years, under the statutory tax retention obligation. Other email we keep no longer than the purpose you wrote to us about requires.
To prevent abuse of the form, the server briefly stores a hash of your IP address and of the e-mail address you entered. A hash is a fixed code calculated from the address; the address itself is not in it. It lets us see that too many messages are being sent in quick succession, or that a confirmation mail would go to the same address too often. This is kept separately from the event log. After 24 hours it no longer plays any part, and it is cleared the next time a message comes in through the form.
First-party event logging
This site keeps a limited event log, without cookies and without external services. One kind of event is recorded at present: a submitted contact form. Each line holds a timestamp, the event type, the page it was sent from, a fixed target ID from a predetermined list, the outcome of the handling, and the reference number that also appears in your confirmation e-mail.
No email addresses, phone numbers, free-text input, query strings, IP addresses or full user agents are logged. The reference number is generated by the server and holds nothing you filled in; it exists so that a submission and its e-mail can be connected — if you ask whether your message arrived, for instance. We use this log to see whether the form works and how often it is used.
Retention period: rows in the event log are kept for thirty days. Older rows are cleared the next time a message comes in through the form.
Processors and third parties
Form messages leave through the Google Workspace mail relay. Our server is authorised for that by its IP address; no username or password is involved. Google processes the content of the message as part of that delivery. The server itself sits with a hosting provider, which thereby processes the data held on it. No data is shared with advertisers, tracking parties or other third parties. For assignments in which we process personal data, a data processing agreement is available on request.
Your rights
You have the right to access, correct and delete your data, and the right to object to its processing. That applies to everything on this page: your submission, the e-mail correspondence that follows from it, and the line in the event log.
For that log line, the reference number in your confirmation e-mail is the only way to find it. The log holds no e-mail address, so without that reference we cannot tell which line is yours, or remove it - nothing in the log can be shown to belong to you. If you still have the reference, send it to us and we will check the line or delete it. Rows older than thirty days are removed the next time a message comes in through the form.
