Privacy policy
This policy describes which personal data ExcelSpecialist processes, for what purpose, and for how long it is retained. The data controller is Jazetti B.V., trading as ExcelSpecialist.
Contact form
When you fill in the contact form, we process the information you provide: your name, email address, phone number if provided, and message. We use this data solely to answer your question.
- Legal basis: performance of a contract, or steps taken at your request before entering into a contract; alternatively, our legitimate interest in responding to your enquiry.
- Delivery: your message is sent to info@excelspecialist.nl and handled by Jazetti B.V., which trades as ExcelSpecialist. We use another provider to deliver the message. The provider and its role are described under "Processors and third parties" below. Replies come from website@excelspecialist.nl.
- Retention period: form submissions are kept for twelve months. Email correspondence that forms part of our business administration, including work commissioned, invoices and related correspondence, is retained for seven years under the statutory tax retention requirement. We keep other email only for as long as needed to deal with the matter you contacted us about.
To protect this form against abuse, we keep technical data about submissions, based on our legitimate interest. Your IP address is kept in pseudonymised form only. If a submission is identified as abuse, we may retain the name and email address entered to prevent further abuse. Automatically recorded data is deleted within thirty days. Manually blocked entries are retained for as long as needed to prevent abuse. This data is stored separately from the event log described below and is used only to prevent abuse.
Your browser briefly keeps the email address you entered in this tab's session storage, so the thank-you page can show it and you can spot a typo. This temporary browser copy is then erased and is not sent to us separately.
Contact form event log
This site keeps a limited event log, without cookies and without external services. Currently, we record one type of event: a contact form submission. Each entry records a timestamp, the event type, which of the two contact pages was used (Dutch or English), a fixed target ID from a predefined list, the processing outcome, the reference number shown on the thank-you page and in any confirmation email, and a technical marker for the submission. The marker records a technical assessment of the submission and contains none of the information you entered.
This event log contains no email addresses, phone numbers, free-text input, query strings, IP addresses or full user-agent strings. The server generates a reference number that contains none of the information you entered. It lets us match a submission to its email, for example if you ask whether your message arrived. We use this log to see whether the form works and how often it is used.
Retention period: rows in the event log are kept for thirty days and then removed automatically.
Processors and third parties
Contact form messages are sent through the Google Workspace mail relay. Our server is authorised to use the relay based on its IP address, without a username or password. Google processes the content of the message as part of that delivery. The website, the contact form event log and the abuse-prevention data are stored on a server hosted by UpCloud in Amsterdam, which processes the data on that server. Like any web server, it records technical data with each visit, such as your IP address and the page requested; these technical server logs are removed after at most thirty days. We do not keep the content of your message on the server: it arrives as an email in our Google Workspace mailbox. Apart from the service providers described on this page, we do not share this data with other parties, such as advertisers or tracking providers. A data processing agreement is available on request for projects in which we process personal data.
Visitor statistics
We count visits with a small script provided by our own web server, without cookies and without storing anything on your device. The statistics contain only counts - per page, referring website, country and type of device - and no IP addresses. The IP address the server sees is used only to count that day's visits; it is not kept in the statistics.
Backups
Our hosting provider backs up the entire server every night. Data deleted from the server may remain in these backups for up to seven further days. We also make an encrypted backup of the website itself every night. This is stored with another provider in Paris and contains no form data.
Your rights
You have the right to access, correct and delete your data, and the right to object to its processing. These rights apply to the data described on this page, including your submission, the resulting email correspondence and the event-log entry.
We can find your event-log entry only by its reference number, shown on the thank-you page and in any confirmation email. The log contains no email address. Without the reference number, we cannot identify which entry relates to your submission or delete that specific entry. If you still have the reference number, send it to us so we can check or delete the entry. Rows older than thirty days are removed automatically.
